How to sync invoices after an initial payment in a HoneyBook invoice to QuickBooks
We have introduced Invoice Syncing! Any changes after an initial payment to the invoice in HoneyBook, including adding services, removing services, and expiring the invoice will now reflect accurately in QuickBooks.
1. Adding or Removing Services
Any services aded or removed after a payment has been received on the invoice will automatically and instantly be reflected in QuickBooks.
2. Expired File Scenarios
Expiring an invoice in HoneyBook will now be reflected in QuickBooks. We have broken down the possible expired invoice scenarios below:
Scenario | Expected Behavior | Functional? | With Tax? |
---|---|---|---|
Using HoneyBook Finance + no refund required | Invoice total (including taxes, if applicable) is automatically adjusted to the sum of the payments received leaving no outstanding balance/Accounts Receivable. | ![]() | ![]() |
Not using HoneyBook Finance + no refund required | Invoice total (including taxes, if applicable) is automatically adjusted to the sum of the payments received leaving no outstanding balance/Accounts Receivable. | ![]() | ![]() |
HoneyBook Finance + refund required | In HoneyBook, refund the invoice first, then expire. Creates a refund receipt in QuickBooks and a separate transaction in the bank feed to match to the refund receipt. Invoice total is automatically adjusted to the sum of the payments received leaving no outstanding balance/AR. | ![]() | 🟡 still testing |
Not using HoneyBook Finance + refund required | In HoneyBook, refund the invoice first, then expire. If instant refund (refunded before bank posting): Bank deposit in QuickBooks is automatically updated to reflect updated payment amount to $0 since there will be no money hitting the bank, therefore there will be no matching transaction in the bank feed. If refunded after bank posting: Creates a refund receipt in QuickBooks and a separate transaction in the bank feed to match to the refund receipt Invoice total is automatically adjusted to the sum of the payments received leaving no outstanding balance/AR. | ![]() | 🟡 still testing |
NOTE: If the invoice is part of a year that is “locked” in QuickBooks, the invoice won’t be editable.
