A proposal page / file without financials

Hi friends,

We use Honeybook for our catering business. In short, a typical client accesses a proposal that include:

  • Client, date, location etc etc general type of information
  • Menu and services
  • Financials at the bottom

We essentially need a duplicate of the proposal that does not include financials that we can use to add staff members who will work the event. This document would then be exported as a PDF and send to individual staff members so they know the client, location, and what we are serving.

The key is that as the menu and services often change in the proposal, so they would need to be updated automatically in the “staffing” page.

We are hitting a wall finding a clean solution. Our menus and services are vastly different from client to client.

Have you found a path or an integration to help? I also run a beverage catering service and would love the ability to have a banquet order created that is automatically updated. The only option Honeybook has given me was printing an invoice which doesn't exactly flow with my business structure. Currently, I have a file that client fills out and a pdf that I have to manually complete each time which is super time consuming.

When you say you don’t want to include financials, are you meaning just the client’s card/bank info or do you also mean the cost of all the items you are charging the client for, too?

This has been a very common conversation lately I’ve had with fellow caterers on HB. I’m honestly surprised they haven’t developed a feature for this yet.

 

Industry standard for caterers is to have a Banquet Event Order (BEO) printed and posted for all staff and vendors. Because of just how many eyes are on this, it’s not ideal to have any financial/invoice information.

Has there been an update on this feature? As advertised to wedding planner contractors, it is common practice within the event industry to generate and print Banquet Event Orders (BEOs) or event details for staff use, without including pricing or financial information.

We use this feature for our wedding venue and find it essential to share event-specific details (such as timelines, setups, and guest counts) with our staff, while ensuring they do not see financial details that are not relevant to their roles. Having a streamlined way to produce non-financial event summaries would be beneficial for both staff coordination and maintaining client confidentiality.
