Ability to Add Project Revenue without Sending Invoices through HB

I am looking for a way to add any incoming revenue for projects without having to send the invoice through HB.  We do invoicing outside of HB, however we would still like to manually input those numbers into HB to track on a project per project basis and also see those numbers on the dashboard.

Would there be a way to add a way to do this without the need to send the invoice to the client? 

 

Example, my client wanted to pay for their commission via venmo and selected that option when filling out the lead form. So I just send them a venmo request instead of an invoice through Honeybook. But I would like to be able to track that their commission is paid for in Honeybook. Could there be a way to record a payment so that it is applied to the project without a formal invoice?

Hey ​@Shauna Lynn! You’d still have to create a simple invoice within HB but you could mark it as paid without sending it! 

You’d create the invoice and immediately mark it as paid.


Once it is marked as paid, you can “publish without sending” 


and viola! The invoice is now accounted for in your account​​​​​​​ without having to interact with your client!

Hi ​@Monica R - On a similar note. I confirmed a piece of business in Dec and they wished to sign an agreement with me outside of HB. I moved the project to the next stage and invoiced them through HB.  When I look at the reporting feature, that amount of revenue is not showing up - I am sure the payments will show up over time, but is there a way to add that revenue? (For context, I try to do year over year review. I have been with HB for 3 years so I can run reports annually and would like that revenue to be included.) Suggestion: Please add “comparison” feature so you can select multiple years in HB for payments and revenue reporting and it will do an overlay graph. That would be so helpful to look at throughout the year to see if I am on track for meeting my goals.

Also ​@Monica R What is the best practice for dealing with a situation like this: A client signed an agreement with me but needs to delay payment due to rescheduling- but the invoice keeps telling the client they are past due, even though I have agreed to a later date for the project. How can I update this so the client doesn’t receive unnecessary reminders?

Great questions! I’ll answer them both here

1) The revenue isn’t showing yet because the project is not “booked”. For a project to be booked, either a contract needs to be signed in HB or the first payment in a payment schedule needs to have been paid. Once they make the first payment, the project will be booked and the $ will show up in your revenue count as expected. 

2) I love the idea of a YoY comparison graph! Smart thinking - will you submit that as a feature request here?

3) Hmm, I think the easiest way to get those reminders to stop would be to expire the file. When your client reaches out ready to reschedule or they are ready to pay, you can un-expire the file and they’ll be able to jump back in no problem.
