Does anyone know how I can have my “client questionnaire” automatically sent to any lead once they schedule a consultation call?

Hey there, ​@Shakirah Forde! HB Pro Matthew here 👋🏼 Building off what ​@Denise O'Malley included above, I also wanted to let you know that depending on which version of Automations you have, you could also do this via the new automations builder. I’ve included a video walkthru tutorial below. Before I dive too deep, here’s a great help article on Understanding the new automations builder.

Alright, so if you have the new builder here are the steps:

  1. Navigate to Automations
  2. Select ‘Create Automation’
  3. Once inside the builder you’ll want to start with a ‘Session scheduled’ trigger
  4. After, you’ll add an Action step to ‘Send file with email’
  5. Select the Questionnaire in question
  6. Then customize as you see fit with the email to send alongside it, and any wait you want to occur before the action takes place

You can set up a lead form and automation for this!

  1. Set up the lead form with and link your calendar
  2. Set up an automation and “Activate via Lead Form”
  3. In the automation, have a trigger that sends the client questionnaire when the lead form is submitted.

I’m assuming you know what I’m referring to with a lead form and setting up automations.  If you don’t, that’s okay but you’ll need to review help topics on it or get some help from a Honeybook expert.

 

It’s a game changer being able to automate your systems.  I wish you luck and hope it works for you!

My advice is to always test like you’re a real client. Use a personal email or ask a friend to go through the steps. In this case, try using or send them your consultation scheduler link. Let us know how it goes!

When I try to do this, my automation screen does not look like the one in the video! I’m hoping to create an automation once we change a client to the ‘Planning’ stage. I have a series of emails that I want to send out, a type of a monthly count down to a wedding, but I need to go in and do it individually for each couple! I have created an automation that I want to use, but it seems like I can not pick the planning stage, it only bring up the answers to my lead form of how they found us (the knot, fb, ig...)

 

Please help!
