Can you add a contact as a vendor/second shooter instead of a client?

I wanted to try and keep all of my contracts together within HB. I have a few second shooters that I have sent contracts to for second shooting with me. However, I now have to archive the project so it doesn’t show up unnecessarily on the pipeline. Is there a better way to do this? Or is there a way to have a “section” that is for vendor info and such?

Hi Jenelle, thank you for the clarification, and forgive me for providing irrelevant information!
I understand your question better now. No, HoneyBook does not provide a way of sending or connecting files to contacts outside of a project.
Your method of archiving the project is a valid solution; an alternative is to set the project to not appear in the pipeline. However, the contract is attached to the project, so I’m afraid you’ll have to maintain this shooter-project-contract connection.

We have plans to introduce improved files<->contacts capabilities in our planned roadmap, so I hope we’ll be able to better serve these needs in the future 😌

Could you kindly explain if these second shooters are accompanying you to photoshoots, or are they independent and can take on your projects when assigned to them?

There are two ways to approach this:

  1. When you create a project, and add clients to it, you can select to add a collaborator instead. The person added as a collaborator can now see that project in there own pipeline and manage it as a co-vendor. This is good if they accompany you to photoshoots.

  2. You can add these second shooters as team members (“Team” category in your company settings section), the Basic role level is advised.
    That way they can have their own projects, scheduled sessions and calendar within your company, so you can assign projects to them and don’t see them in your pipeline if you’re not a part of it. This is good if they are going to photoshoots on your behalf and you need them to be able to manage their own projects.

This is all great to know, however I don’t think it would help for what I am looking for. These are second shooters that will be working with me. I don’t need them to see or access the project by any means. I only need to send them a contract for being an outside contractor/second shooter. 

So right now, I need to create a project and then a contract and then have them sign it. I was wondering if there could be a way to just have them as a vendor -- they don’t need a project page. But they have contracts attached to their name?

Does that make sense?

Hey Janelle! For all of my subcontractors, I actually have a pipeline stage at the end where I store all of them. That way if I need to update one it’s easily accessible. You could also do your archive message and then tag that ‘client’ as a vendor > then sort you contact list with that tag to locate their contract at a later date.
