Client wants to change date and type of session

Hello… I need some help. 
I have a client who schedule a photography session and already signed the contract and paid their deposit for such. Client would like to change the type of session and date. What do I do? Can I delete the files and send a new proposal? Should I refund the deposit and start from scratch? Any advice greatly appreciated!

Hey ​@Shelly Freeman! Matthew here. I’m a brand designer, business coach, and HB Pro. While there isn’t a one-size-fits-all solution for this, and I am in no way offering legal advice, here is my recommendation. Feel free to try it on for size:

Start by assessing the differences between the original and new sessions—cost, logistics, and agreement terms.

  • If the new session costs more, but the terms are the same (example 1 hour to a 4 hour shoot) you can apply their initial deposit to the updated package and request the remaining balance in a new Smart File or simply update the File itself and send back for approval.
  • If it costs less, refund the difference or, if it’s a minor change, adjust without starting over. AKA edit the Smart File for the amount change (so long as logistics or agreement haven’t been impacted).
  • For significant changes especially to contract/logistics, like switching to a completely different service, it might be better to cancel the current agreement, refund the deposit, and send a fresh proposal to ensure everything is legally aligned.
