Contracts without Key Details???

I run a video production service and I'm currently evaluating how best to structure my client engagement process, especially around the integration of proposals, invoices, and contracts.

My current workflow map draft involves:

  • A initial consultation to see if client is a good fit, get an idea of their problems, etc.
  • Sending a proposal with timeline, service, invoice, contract, and payment portal. 
  • Once initial deposit is paid, we schedule a kickoff meeting to get into details. 

My Concerns: The current setup leads to contracts being signed without key details like exact filming dates and locations. This can potentially lead to complications or the need for contract amendments, which I feel might affect client trust or project fluidity.

I’m looking to the community for feedback on the following:

  • How do you manage contracts when critical details like filming dates and locations are only confirmed after the contract is signed?
  • Would it be more effective to delay the contract signing until after the kickoff meeting? Or is there a better way to structure the proposal/contract process?
  • Are there specific features or tools within HoneyBook that could help streamline this process, perhaps making it more dynamic with respect to project specifics?

Any examples from your own practices in handling similar scenarios would be incredibly helpful!

That could be explained on you website and even in your initial contract verbiage as a "what to expect" section. The contract could state the initial booking arrangement with details to follow after initial consultation.  That could be structured as a questionnaire,  an amendment,  a rider, or a separate "provisions contract". This process would all be detailed on your website,  mirrored in your initial contract, and spelled out for your clients so that they know exactly what to expect throughout your process.

@Rick McLean That may be the approach I take, it seems like HB makes it easy to amend contracts and have the client sign it again.
