Creating Link or Automation to Schedule and Pay in Project as Many Times as Needed

I run an educational consulting business that works with students with the college application process. When a parent signs on for a package of hours, I provide two scheduling links to students to use whenever they want to find time to meet.

At this time during the year, I get a lot of families who reach out who want to schedule 1-hour meetings (rather than a package of hours) and rather than going back and forth with them each time want to schedule and sending them a smart file with the scheduler, invoice, and payment, I would rather provide them something like a Lead Form that allows them to schedule and pay in just two steps and can be a link they can use repeatedly.

With all the changes that have been taking place, is this function available? I know Lead Forms can do it, but it creates a new project each time and I just want an option for the client within the project that ability to do what I mentioned above. Is that available yet? If so, how does one execute that function. And if not, what are some good alternatives to providing an easy way for a student/family to schedule and make payment on an as needed basis without my interference?

Thank you!

Hey @Dana Ponsky

We’re currently working on building a new feature that would allow you to send off one time payment links from a client’s workspace (no new project created!). It’s not exactly what you’re looking for but I think this might help! Would you like to be invited to join the beta group when it goes live in a few weeks?

Hi @Dana Ponsky,

Kitzzy here from the Education team. Here’s another option you could try in the meantime. As lead form submissions always result in a new project, I suggest creating a smart file and automation for recurring clients after their initial booking.

  • This file can include the scheduler and invoice just like the lead form.
  • Create this as a template, create a related email template, then setup an automation:
    • Trigger: Session ends
      • You can set a delay here if needed
      • You can specify a session type
    • Action: Send file via email
      • Choose scheduler template
      • Choose schedule next session email

Let me know if this works for you.
