Creating Service/Order guide without upfront payment

Brand new Flower Preservation company here! I’ve been struggling the past week how to properly and easily create my files for clients and hopeful someone can help. With my business, if people book me in advance, it’s only $50 deposit. If people book at the time of service, it’s half payment then other half at completion. I accept cash/venmo and will be accepting CC if needed too. 
 

How can I properly create a template for my clients to book with their date without requiring payment from them? I’d prefer to invoice them the actual amount they need to pay versus having to enter their CC info at checkout. Do i have any options? Links to templates would be a huge bonus!!!

Hi @AbbyFlowers ! 

What I usually do in this scenario is create 2 separate files or workflows:

  1. for prebookings
  2. for pay on day of service

For #1, you could create a Lead Form (which is essentially a public link you can post anywhere or share with leads so they can automatically pay) that has a $50 invoice for the deposit. This might include

  • a welcome page
  • Invoice
  • Scheduler so they can reserve their date (Make sure on the session, the “Use meeting date as project date” is toggled on.)

Then after they complete that, you'll need an automation that sends the remainder of the amount they owe and anything else you need from them, including invoice, perhaps a contract, etc.

For #2, you'll probably want to use a SmartFile that you can customize and send to the client. You can either add them manually as a client, then apply the SmartFile template to their project, or they can fill out a contact form for you to collect their info in Honeybook. (If you’re in person, you could create a QR code to this link, and print a handout or have a sign they can scan to do it on their phones.) In this case your File might have:

  • Welcome page
  • Services page
  • Invoice (payment schedule would be 50% now and 50% at the time of your choosing - you can choose a set date or a “smart date” based on x amount of time after invoice is sent)
  • Contract if you need one
  • Payment page
  • Scheduler if you need one

FYI, Honeybook accepts CC and Bank transfer payments. You can “accept cash” by manually marking the payment as paid after the invoice is sent. In this case though, the clients will not be able to use a Lead form, as Lead forms require clients to pay by CC.
