Hi! 

 

I’m running into an issue with automations that I have multiple questionnaires, meetings, and files per project. I’d love to be able to make an automation task/trigger specific to a specific questionnaire/meeting/scheduler/file/etc. For example, when an engagement session questionnaire gets submitted, I have a different next step than when a wedding day questionnaire gets submitted. This is definitely a sticking point for me with automations.

 

Also, I would love to be able to pick specific dates for a task.

HI Laura! 

Not sure how your current automations are set up right now, but there are some ways to accomplish what you are looking to do!

For instance, I have automation that goes something like this:

Trigger:  x Weeks before project date » Send smartfile via email (planning questionnaire)

From there I have conditional logic set up that is tied to “File Completed”

I have different stages before a brand session with my clients where different things are sent out 

 

I also have automatons tied to a session type (connection call, planning call, etc)

I found that breaking down my automations by phases or mini workflows allowed me to create more powerful and thorough automations

Where I run into issues is the “file completed” trigger because I have multiple files for projects and several project types.

 

I’m also not seeing a conditional logic option for me - I’m guessing maybe that’s in beta? I’ve been waiting for that for years so that’s exciting if it is!

@Laura Elizabeth - You're definitely not alone in running into this kind of complexity, especially when working with multiple files or project types within the same workflow. HoneyBook automations can be powerful, but they do have some limitations when it comes to granular control and conditional logic — especially when you're trying to trigger different actions from different files within a single project.

One thing that might help in the meantime is breaking out your workflows into multiple, more specific automations. For example, instead of one large automation covering both engagement and wedding questionnaires, you could create separate automations tied to specific project types or tagged stages. That way, you can ensure each step aligns with the correct file or form being completed.
