hide internal info from questionnaires

can we add a feature to where we can share the questionnaire or job worksheet to the contractors (Band Managers) without them seeing the all the info? i have the client fill out information about the projects but don't want the contractor (band members) to see all the info. i want the band managers to be the only ones that see things like Project booked amount and just only see the details for the project like, setup time, arrival time, etc. Please let me know if anyone else has a work around for this being two separate questionnaires or how you do it. TIA!

Hi @Scott Paulk , This is an interesting use case, and I have considered possible solutions that HB already offers. I came up with the following flow, which I’ll attempt to make as clear as possible so you can immediately tell if it might work for you.

  • You need to have your clients and band members on the same project but in different workspaces, so band members are not exposed to any of the client communication.
    So, your project should have one workspace for the client(s) and another for the band members (More on creating related workspaces within a project here).
     
  • You will need to save the data that you want to expose to band members in the project details so that once a client fills in the data that you wish to share, it is accessible to you. This is a one-time setup that applies to all current and future projects.
    For that, you need to add custom project fields (How to do that? Here).
    As an example where I created 2 new project fields:
    Two custom fields were added as project details: no. of guests and setup time
  • Now, you can send your clients a questionnaire asking for their number of guests and setup time (among other questions). These questions will be linked to your new project fields, so when they answer, their answer will be saved in your project details.
    • You need to make sure to link the answers you want to later share

      When submitted, the provided answers are saved to the project Details tab:

  • Now, if you switch to the band members' workspace, you can easily send them a Smart File with a text block containing this data. 
    How? You create a template (or a file) with a text block containing linked Smart Fields. Once a client provides the details, the linked Smart Fields are automatically populated with the information the client provided and the file can be sent to the band members.

To sum this up, you’ll have a one-time initial setup for:

  1. Custom project fields,
  2. [For clients] a questionnaire template with questions linked to these fields,
  3. [For band members] a template with Smart Fields that read those answers from the project tab.

Later, you will need to add a separate workspace for the band members per project you need to share details of. You can also use an automation to send the file to the band members once a client submits the answers.

It looks like you figured out a way. I would have to try and set it up later. I was hoping for an easier solution but it may be the only option for now! Thank you!
