How to automate emails to my clients & face painters in advance of their party

Painted Face

Just as I notify my clients of their upcoming party, I need to remind my face painting artists about their upcoming gigs.   It’s simple enough to automate an email in the project to my client. My question is, how can I also automate another email to the individual face painter? I have 5 face painters at the moment and I would LOVE to automate this into my flow. Thanks

Hi @Painted Face ,

You can do this by adding another workspace to the main project workspace and make it just for your face painters (so a team members/subcontractors workspace). Here you’d be able to communicate with just the face painters and add their own special automation since it’s on a separate workspace from your client. This is how I set things up for one of my venue clients in order to automate reminder emails for each event’s musicians and food vendors.

@Alyssa Nance I also have clients and performers (independent contractors) and was wondering if the performers should be set up as team members or should I set them up as clients or collaborators?

@Dominique Using team members vs collaborators will depend on a few factors, one of which being the HB plan you have. The Started Plan doesn’t allow any additional members, the Essentials Plan allows you 2 additional team members, and the Premium Plan gives you unlimited team members.

 

Deciding on if you want to add your independent contractors as a team member will depend on how much access you want them to have. HB has 4 different roles (other than the Owner role, which is what you’d be). Here’s the full article breaking down each role. If you don’t need your contractors to actually control anything inside of HB, you just need them to see communication, then you could probably just add them as a collaborator for the project.

The way I like to describe it is if you were a wedding planner. You could view each of the wedding vendors as a contractor for your business. None of the wedding vendors were added as team members, even though you work with them on many events because you don’t need them to be able to do anything inside of your HB account. You just need them to see the event details and any communication. But say your wedding planning business as a VA. You’d need to add them as a team member so they could help with incoming leads, schedule meetings with couples, send invoices, etc. Hope that analogy made sense.
