How to update all files created from a template?

I’ve searched here and in the help center, but didn’t find an answer.

Is it possible to bulk edit smart files created from a template when that template gets updated?

Example: I have a template for an interactive guide connected to a lead form. When folks submit the form, their file is created from the template and sent to them. I’ve found a couple of typos since launching the guide. I’ve fixed the template for future leads, but I’m not sure how to fix the files already sent other than manually going into each file.

I’m hoping to avoid the manual approach primarily because it’s tedious, but I also have ADHD and don’t want to forget to update anyone’s file. 🤭 I’m also not sure if people will be notified of the updates, or how, and I worry I’ll be about spamming them with unnecessary notifications.

Hi @ashleefisher! Short answer is no, you have to manually update. Once a template is applied to a specific project it becomes its own individual file. While I wish there was a better solve for this, you will need to go into each to correct the typo. Though depending on what the typo’s impact is you very well could leave it alone (most folks don’t notice that stuff).

To edit a smart file

  1. Use the search bar or select Projects from top navigation to find the project in question

  2. Find the smart file in your activity feed or click Files

  3. Once inside, select Edit File

  4. Make your changes > select Publish Changes

  5. Decide whether you want to notify the project participants of the change; while it’s not always required (see linked article below) it is common practice to let folks know. However in this case of correcting a spelling error, so long as it’s not an edit to the contract you’re good

  6. If you decide to send an email, adjust the email's copy as needed > select Send

  7. From here, your changes will be live!

Also here’s a great article about when to notify clients of file changes. Hope this helps!
