Question

Is anyone else surprised that adding a team member as a participant to a meeting doesn't add it to their calendar?

We are a wedding venue, and I assumed that I could add my tour manager to the scheduled tours, and they would be notified and scheduled. I added her as a “participant” to the meetings, but she can’t see them. I asked support, figuring I must be doing something wrong, and they told me that the participant’s calendar doesn’t get updated and there’s no notification sent to them, This feature is likely going to make the program unusable for us. I’m kind of shocked. actually. How can you schedule meetings and not have your team members notified?

@Tanya Cleary - You're definitely not alone in feeling surprised by this—it makes complete sense that you'd expect a team member added as a meeting participant to receive a notification and have the event show on their calendar. As a venue coordinating multiple tours and staff schedules, that's a critical need, and I can see how this would feel like a big limitation. I know others have requested this as well!

Right now, HoneyBook doesn't automatically send notifications or calendar invites to participants added to scheduled meetings—which, yes, can be a challenge for team-based workflows. However, there are a couple of workarounds that may help in the meantime:

  1. Manual Calendar Invites
After scheduling a meeting in HoneyBook, you can manually create a Google Calendar or Outlook invite and add your tour manager's email directly. This ensures it shows up on their calendar and sends them a notification—even if it's not native to HoneyBook yet.

  2. Feature Request
Since this is such an important need, I’d highly recommend submitting this as a feature request in the Ideas section of the HoneyBook Community. The more people who upvote or share similar needs, the more likely it is that HoneyBook will prioritize this functionality in future updates.

Fingers crossed we’ll see stronger collaborative features soon, especially for teams like yours that rely on shared calendars to keep things running smoothly. 💛
