One client, two different projects... what do I do to keep them separate?

Hi. I am a coach and I have a client in a private coaching year long program AND she is signing up for my year long GROUP coaching program. I’m about to send her the proposal for the group program realized I don’t know if I should create a new project under her name or not.

Any tips how to handle this client flow?

Hi Staci! HB Pro Matthew here. This is how I would approach it, and what I’ve done in the past. In my Pipeline, I have a stage for 1:1 Privates and Group — for context I’m a brand designer and business coach. I like to keep them separate because in truth they are two different types of engagements – with different rates and different lines of communication. It’s also helpful for me to see an accurate # of Clients (Projects) in each stage of my Pipeline, as it informs when I need to do more sales to fill up a program, etc. By keeping them separate you can trigger different Automations for when they’re in 1:1 Private vs. Group setting, especially if there’s a need to send at the same time. You could, however still “link” the workspaces so they are related (aka easily click between the two). You do that by going into the current Workspace, on bottom right toolbox click on More Options > Related Workspaces. However, I just like to keep it clean and separate. Feels easiest for me to comprehend. Let me know if that’s helpful, Staci! Here if you need additional support.

Hi Staci! When I have a client with one or more projects I use the “related workspace” feature within the client’s original project. There may be another or a better way to do this, I’m tagging a few HB friends of mine who are HB Pros to see if they have some insight! @Tonisha J Stalnaker @Megan Herron @Brandi Lilley @Matthew Eriksen @Regina Martinez

Hey Staci! 

 

I agree with Matthew! I would keep these two projects separate using different workspaces that can be tracked. You could still use a related workspace but in the instance I would just create a new project with a new name. Wit the new updates to the contacts feature, you can see all the services the client has booked so that’s why I would just add as a normal project!

I agree as well to make them 2 separate projects, especially now that the pipeline is fully customizable. It will allow you to track each way you’re working with that client better. I love how Matthew explained how he has his pipeline set up, and you might benefit from doing something similar.

Anyone have advice for repeating projects with the same clients?

I’m a freelance photographer and would like to duplicate my contracts and only change the project dates and specifics. I want to keep them under the same client. Help???

@Nina Wurtzel - Great question, this comes up a lot with photographers, freelancers, and anyone who works with repeat clients!

Create a New Project for Each Session

  • Go to the client’s Contact profile in HoneyBook.

  • Click “Create New Project”.

  • This keeps all of the projects linked to the same client, but lets you customize the contract, date, and details for each one without affecting previous work.

💡 Bonus: You can reuse your existing Smart Files or contract templates — just update the date and session details as needed!

@Nina Wurtzel - You're so welcome! And yes, when clients involve multiple people, it can definitely get a little trickier to keep things organized.

One thing that might help is using tags within each project or contact. For example, you could tag by session type (like "family session," "headshots," or "holiday shoot") or by individual names if multiple people are tied to one primary client. This way, you can easily filter or search within HoneyBook to find exactly what you need later, without creating duplicate contacts for the same client.
