Scheduling coaching sessions without creating a new project

I’m working with a client doing a combination of training and coaching, utilizing different team members. It’s all the same project, but the planners are a different team from the trainees/coachees. We’ve contracted for 10 hours of individual ad-hoc coaching with a team member who isn’t me, and in order to track hours and keep good notes, I’d like those coaching sessions scheduled within HB. How can I set it up so that someone in this cohort of 30 people can schedule time with my team member within HB without their colleagues seeing? I’m dreading creating a separate workspace for each person! Is it a pipe dream? Should we just use something else for this aspect of the contract?

Hi Cynthia -

Given the current structure of HoneyBook, this would require managing individual projects. You can use lead forms to generate/schedule these sessions so you don’t have to create them yourself. Currently the “project” is the foundation for how the platform is organized, so each of these 30 people will need to have their own project. While we are assessing how to address project-less work, I believe asking your clients to complete a lead form to schedule time is the best solution.
