How do I get my Scheduler availability displayed in my calendar?

I have my availability blocked off in Scheduler to receive client bookings. And I obviously get notified in my calendar when a client books a call or a podcast recording during those times. But I want to see the blocked off times for calls in my calendars so that I don’t double book. I was blocking off the time chunks in my google calendar but I just discovered that that prevents clients from book as it shows me as busy.

I seem to be stuck in a loop. I am a landscape designer and I book onsite visits too. Heading into busy season so want to solve this…

Hi Joanne,

To make sure I’m understanding you, you’re saying you block certain times that you set aside for client bookings only and you want to be able to see which blocks of times those are so you don’t book other things into those slots, is that correct? If that is the case here is what I’d recommend- just note it is a bit of a workaround and maybe someone else will have a better solution.

 

Firstly, do you already have your google calendar synced in HB to where your google events show up in HB and your HB events show up in google? If not, that will be your first step.

 

Secondly, you’ll want to make sure all your session types are set up to where that particular session is only able to schedule in whatever time blocks you want. So for example, if you only want client calls to be booked on Tuesdays and Wednesdays any time between 10am and 4pm, you’d create a session specifically for client calls and then set those parameters for the availability of that session.

 

Thirdly, you would then want to go into google and set up those same times as an event but then mark it as free. So, you’d pick a day and create an event. Then, using our example above, you’d tell it 10am-4pm and then have it repeat every Tuesday. Then you’d create another one and have it repeat every Wednesday. You will then see an event at 10am on every Tuesday and Wednesday and it will populate in your HB calendar, too, but it will show as free. Since it’s showing as free, your clients will still be able to book time in those slots. But having it appear on your calendar will at least make you stop before booking anything to check what it is.

Thanks for this. It is pretty close to what  I did as a work around. I also have a personal calendar linked so I added the blocked off times to me personal calendar, they now show up in my business calendar so I don’t double book but they don’t prevent clients from booking a call during that period.

I’m glad you were able to use this workaround! 

To make sure I’m still understanding your process, your call clients are different than the blocks of time you’re trying to block off, right? Are these blocks of time meant for your landscaping clients, and the calls are meant for other things you do? If so, if you have a session type specifically for the other types of business stuff you do, you would make that session’s availability as not available for scheduling inside of the blocks of time you are holding for landscaping clients. I would then 100% recommend having a separate session type for the landscaping clients if you don’t already, and that session type would only be available for scheduling inside of the blocks of time you’re holding for them. I’m not sure how much of this you do manually vs sending a calendar link for the different types of clients to book themselves, but it may help if you think of it like 2 different session types and 2 different client types.
