Partial payment without contract change

How do I apply apply a partial cash payment without having to change the payment schedule/contract to be approved?  Client is paying ahead but it’s only partial payment.  I need to keep the payment schedule there as it determines my refundable funds vs non refundable funds should a contract get cancelled….

Hi Katrina! I’m Justin, and I work on the help center at HoneyBook. You may not need to notify the client/get them to resign the contract depending on the invoice’s file status. You will need to make some adjustments to the payment schedule to get those cash payments tracked in HoneyBook, though.

If your client is paying with cash, you can mark the payment as paid by going into the smart file’s Payment Schedule section, selecting the payment made outside of HoneyBook, then clicking on Mark as paid in the sidebar.

Are those cash payments lining up with the amounts in your payment schedule? If they aren’t, you can also adjust the amount for the payment/add more payments. Make sure you haven’t marked the payment as paid if you need to adjust the amounts though. Marking the payment as paid should be the last step.

I have also recently have had bugs/issues with making changes to contracts and their payments getting messed up.  They had made payments but once I made the changes to the contracts, the payments disappeared and we couldn’t undue anything.  Another time we made a change to an invoice and it changed the payment plan and said they had paid more than they did.  Thankfully the client brought it to our attention but these are big issues that we want to make sure don’t happen to other people or find out what we did wrong to cause these errors.

HB definitely needs a way to accept partial payment. I had a client underpay their contract, accidentally submitting an earlier version of their invoice to their AP and there was no way to send them an invoice showing the past due amount without having them resign an edit to their invoice. Respectfully, I am not asking their permission (them to resign) when they underpaid on our contract. Requesting a resign on an edit to the contract makes it look a lot like a request when its actually a contractual demand with services already rendered.

Yes, not sure why I need to keep getting their approval when it comes to the payments and money owed.  We have clients send us a different amount from what we originally agreed upon and setup and its a whole thing.  Plus now we have had a couple instances when we have made edits to an invoice that had some payments already made and HB system changes the amounts paid and due.  Nothing we have changed and thankfully have caught twice now, one client was honest with us and the other time we caught when they paid us and their invoice showed paid.  This is a very big deal and there is no customer service when it comes to this.  I have spent days talking to their AI system and pretty much I get the run around or they talk down to me and blame us as the incompetent one.  Where did the customer service go with HB??
