Seeking Efficient Client Intake to Invoice Workflow Examples

Hello everyone,

I'm currently fine-tuning my process for managing clients and really need some advice from you all. I'm curious about how you guys handle everything from the moment a client first reaches out until you send off the final invoice.

Would anyone be willing to share what their process looks like? I'm especially interested in knowing:

  • How do you deal with initial client inquiries and filling out intake forms?
  • What's your routine for holding consultations, drafting proposals, and getting agreements signed?
  • How do you handle the actual work, including getting client feedback and making changes?
  • What's your strategy for sending invoices and keeping in touch after the project is done?

Also, if you have any specific templates, tools, or software you swear by, I'd love to hear about those too. I'm aiming to build a process that's smooth and efficient, making sure my clients are happy and that everything runs smoothly on my end.

Hey @Michael Browne! Your automation process really depends on how YOU run your business and needs. From what I can see you are web designer? Tools I love to use with HB are Smartsuite (similar to airtable) and Markup.io or usepastel.com for design proofing. With Markup.io the client doesn’t have to login to make comments and view things.

For automations and a general process:

  • Intake Form
  • Auto email saying reviewing info
  • Task to review inquiry
  • Email with scheduler link to setup an appointment
     
  • Proposal (info, invoice, contract, scheduler to choose start date)
  • Task reminder to check in if client hasn’t responded
  • Email thanking them for completion and next steps
  • Welcome Guide
     
  • Canned emails ready to manually send during process asking feedback and being very specific on if you don’t receive feedback by xx date you will presume everything looks great
     
  • Offboarding guide
  • Feedback survey
  • Thank you gift

Thanks a bunch for the awesome rundown you gave – super helpful! We do work on web design and development, especially for e-commerce sites. Markup.io, and usepastel.com – are right on the money. I haven't tried to integrate Markup.io myself yet, but the idea that clients can jump in and comment on designs without any login hassle sounds like a real lifesaver.
