web form connect to existing project

Is it possible for me to have a form on my website available, and when people fill it out and use the same full name as an existing client - I can consolidate that form with the existing project? Scenario below:

I am an event venue. I am creating a new client portal on my website. I would like to have a form submission in my portal that clients can fill out at any time during their experience with us - and it link to their existing project (I don’t think this exists automatically - however is there a way to “smoosh” or merge two projects together? I’m okay if I have to have a manual task to merge them)


We’ve attempted to use automations with emails based on contact form & project type and HoneyBook does not have enough options with automation and causes more of a mess at this point (example: there’s no way to set X days before project date ONLY IF they’ve paid their retainer. So we had several people get emails that never actually booked - embarrassing!)

Hi @Arianna Day,

That’s a great question! From what I understand, you’re looking for a way for your clients to access their client portal using a link on your website, correct?

What you could do to simplify this flow is simply share the general link to the client portal - where your clients will be able to fill out their login information or trigger a password reset with their email. Does that help solve your issue?

As for merging projects, at this time it’s not possible to do. However, there’s the client workspace functionality that helps keeping everything in one place, giving you an overview of all of the projects that you’ve worked on with your clients.

I have had this happen twice this month. There was a lot of back and forth sending information (me to the client and them back to me). I sent them a booking link. In the end they went back to my website and used my booking form which start a whole new project for them. Is there a way that HB can know this client already exists in my system (name recognition) and import that contact form their current project? Now they have paid in one project and all the information I want to have in that project is in muliple emails in their other project.

@Alicia Putz , I’m assuming the booking form on your website is a lead form? If so, there’s a setting for lead forms that may help you with this. Open up your lead form settings and scroll down to the “Submission Settings” section. There should be a setting called “Incoming leads project creation” and a toggle button. If you toggle it on it will save any other submissions they make on that form under the same project as long as they use the same email.
