Seeking advice: systemizing university outreach for speaking engagements

Hi Honeybook community!

I run a boutique digital studio serving artists in entertainment. I've been speaking at performing arts organizations and universities for over a decade — SAG-AFTRA, NYU, Broadway Dance Center, and more — and I genuinely love it. Teaching is my favorite thing.

I'm trying to get more intentional about it: outreach 2x a year, timed just after semester kickoff when professors are planning their curriculum.

My three tiers are:

  • Q&A Only — $250 / 60 min
  • Keynote + Q&A — $500 / 90 min (slides, companion worksheet, recording access)
  • Workshop Series — $1,200 / three 90-min sessions

My challenge: I don't want this competing with my core studio pipeline. It's a passion project, not a business pivot.

Two questions for the community regarding best set up:

  1. Do you keep speaking outreach in your primary Honeybook, start a secondary company/pipeline in Honeybook, or handle it via another tool, such as Squarespace’s baby CRM?
  2. Any tips for a clean outreach email to department heads or professors? I love using the Projects pipeline and bulk emails to track conversions and payment. I would send them to a Lead Form to collect details on date, time, and budget… yea?

Not seeing a way to DELETE but, thanks to HB AI, I have:

  • Created a new pipeline view for speaking
  • Updated a new lead form for speaking
  • Unarchived/imported ~40 projects for future outreach
