Question

What emails does HB automatically send to clients without user input?

I would like to know how HB interacts with my clients without my input, and what specifically is emailed to my clients. For example, it’s my understanding that an email is sent to a client when I add them to a project; what does this email say? What other emails are sent to clients: payment received, contract counter signed, etc?

@York Trolley Company - Great question, this can definitely feel a little unclear at first.

HoneyBook doesn’t send a full set of “hidden” emails without your input, but there are system-generated notifications that go out based on actions in a project.

These can include things like:

  • Being added to a project

  • Files being sent (proposals, contracts, invoices)

  • Payments received or upcoming

  • Contracts signed or completed

The exact wording of those emails isn’t all housed in one central place to review, which I know can be frustrating. The best way to see what a client receives is to:
• Send a test to yourself (using a secondary email), or
• Preview emails when sending Smart Files or invoices

You can also check your email templates and automations, since those are the ones you have full control over and customize.

If you’re ever unsure about a specific notification, Support can usually provide the exact wording for that scenario as well, it’s just not fully documented in one easy-to-view list inside the platform right now.
